Bookings
Bookings are not confirmed until the non-refundable payment has been received. If your event is more than 1 month in the future a non-refundable 50% booking fee is accepted with final payment due no later than 2 weeks prior to the event date. Your order may be cancelled if full payment is not received 2 weeks prior to the event date.

Payment is required to complete your booking. We are aware for some institutes there is a process to make payment and we will where possible work to accommodate this, however, payment MUST be received prior to us fulfilling the booking. If it is not there will be a £25 per week admin fee added to the invoice which must then be paid in full. If payment is not made promptly we will follow this up in the small claims court, with all additional costs being your responsibility.

Delivery and Collection
Delivery and collection times for our lights are between 9am- 2pm. We can not specify times as this is dependent on the route that is best for all deliveries. Access must be available between these times. If specific times are required, you MUST provide this information on booking and we will do our best to meet them. Balloon bookings may be more flexible depending on other bookings that day but timings must be provided upon booking. You must be available at the agreed delivery or collection times. You are liable for the extra mileage costs incurred if we must make additional journeys plus a standard fee of £25 will be charged for any return journey on delivery or collection.

Caring for your balloons
Please be aware temperature change will cause the balloons to either shrink or expand. Cool temperatures will cause the balloon to shrink, it will reinflate once it’s warm as long as it’s not left cold for too long.

Heat will make the helium expand which if left for a while may mean the balloon will burst.
- Store at a constant room temperature between 15 -25 degrees - Keep away from direct heat such as radiators or naked flames
- Keep out of direct sunlight
- Do not leave balloons in cars on a very hot day or very cool day - Keep away from sharp objects
- Keep away from pets
- Allow balloons to float freely
- DO NOT INHALE HELIUM, it can be deadly
- Balloons are not toys please treat them with respect

Please note our balloons are inflated the night before collection/delivery to ensure there are no faults. Once received the care of the balloon is the sole responsibility of the buyer and Balloon Bear cannot be held responsible for any damage or distortion once the balloons are the possession of the buyer.

Anticipated Inflation durations (Durations are dependent on your care of the balloons)
- Giant foil balloons 4-5 days
- 18” foil balloons 6-7 days
- Supershapes 6-7 days
- Cubez and Orbz 6-7 days
- Bubble balloon - at least a week
- Latex balloons (with hi-float) 18-24 hours. Confetti balloons will not last as long.

Please note we cannot provide refunds and once the balloons have been left our premises we are no longer responsible for them

Prop Damage costs
Any damage to our equipment during your hire will result in the cost of the damage being invoiced to you and the payment of the damage/ repairs to be paid in full within 7 working days. If this is not paid, we will start proceedings through the small claims court.

For items that cost more than £150 clients will be invoiced the full amount of the hired item at the cost that we purchased it at. By confirming your booking with full payment, you are agreeing to these Terms and Conditions and agree to pay for all damages incurred during your hire.

You are responsible for checking the items on delivery while we are still present and report any faults to us in person. We check all our items prior to leaving venues and make sure all the equipment is in perfect condition and take pictures of the set ups.

LED Lights package

Delivery
Unless otherwise arranged with us Delivery will be between 9am - 2pm. Collection of the lights will be between 9am – 2pm.

We cannot guarantee delivery times and will not provide specific timings, however, you will receive a text on the morning of your hire giving an estimated arrival time. This time is subject to change.
It is important that you check that your venue is available for us to deliver/ collect at those times prior to booking as we will not refund if this is your reason for cancelling.

If we are unable to access to deliver the lights, we will only return at our discretion and there will be no refund. If we are unable to access to retrieve the lights there is a flat fee of £25 per attempt to return and collect. Please ensure we can access at the times you state.

Taking care of our lights
Please take care of our lights so others can enjoy them after you. We understand there may be wear and tear but reserve the right to charge for excessive damages up to a maximum of £130.

We do not provide extension cables for our lights, they come with a standard 1 metre lead.
- Do not leave lights plugged in and unattended
- Do not leave lights outdoors if not covered by a rain proof cover - Turn off the lights overnight and if you go out
- Keep away from fire and other heat sources
- Keep away from water and do not rest drinks on them
- Do not sit, stand or lean on the numbers
- Ensure children are always supervised to avoid injury
